1. Who we are
This website (vroneinternational.com) is operated by Vrone International, Unipessoal Lda., a Portuguese company with NIPC 518760499, registered office at Rua do Matadouro, n.º 9, 1.º, 2560-615 Torres Vedras, Portugal. References to "we", "us" or "Vrone" in this policy mean that company.
We are the data controllerfor personal data collected through this website under Regulation (EU) 2016/679 (the "GDPR").
2. What data we collect
2.1 Information you provide directly
When you submit our contact or crew-request forms we collect:
- Identification: full name, company, country/region
- Contact details: work email, phone number
- Request details: service of interest, sector, headcount, roles needed, timelines, site location, shift pattern, accommodation needs, languages, certifications, and any free-text notes you choose to add
- Your consent confirmation
2.2 Information collected automatically
Our hosting provider (Netlify) processes your IP address and basic request metadata as part of standard web-server operation and security logging. We do not currently operate analytics or advertising trackers on this site. If we add them in the future we will only load them with your prior consent. See our Cookie Policy.
3. Why we use your data and the legal basis
We process your personal data for the following purposes:
- Responding to your enquiry: to evaluate your request and reply with a staffing or recruiting proposal. Legal basis: steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
- Operating and securing the website: to keep the service running and prevent abuse. Legal basis: our legitimate interest in providing a functioning, secure website (Art. 6(1)(f) GDPR).
- Compliance with legal obligations: for example retaining records required by Portuguese commercial or tax law. Legal basis: legal obligation (Art. 6(1)(c) GDPR).
4. Who we share data with
We do not sell or rent your personal data. We share it only with carefully selected service providers who process it on our behalf ("processors") under written agreements:
- Netlify, Inc.: website hosting and serverless functions (United States; processes data under the EU-U.S. Data Privacy Framework and Standard Contractual Clauses).
- Google LLC: Google Sheets, used to log lead submissions for our internal team (United States; Standard Contractual Clauses).
- Resend, Inc.: transactional email delivery used to forward form submissions to our internal inbox (United States; Standard Contractual Clauses).
We may also disclose personal data where we are legally required to do so (e.g. to public authorities under valid legal process).
5. International transfers
Some of our processors are located outside the European Economic Area (EEA). When this is the case, we rely on appropriate safeguards recognised by the GDPR, typically the European Commission's Standard Contractual Clauses, supplemented by additional measures where required.
6. How long we keep your data
We retain enquiry data for as long as necessary to follow up on your request and, where applicable, to comply with our legal and contractual obligations. As a general rule:
- Enquiries that do not lead to a commercial relationship: up to 24 months from your last interaction with us, after which they are deleted or anonymised.
- Enquiries that lead to a contract: for the duration of the contract and the retention periods required by Portuguese law (typically up to 10 years for accounting records).
7. Your rights under the GDPR
You have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased, where applicable;
- restrict or object to certain processing;
- receive your data in a portable format;
- withdraw any consent you have given, at any time.
To exercise any of these rights, email us at contact@vroneinternational.com. We will respond within one month.
You also have the right to lodge a complaint with the Portuguese data protection authority, Comissão Nacional de Proteção de Dados (CNPD), if you believe we have not handled your data properly.
8. How we protect your data
We apply technical and organisational measures appropriate to the sensitivity of the data we hold, including encrypted transport (HTTPS), access controls on our internal systems, and minimum-privilege principles for any third-party integration.
9. Changes to this policy
We may update this policy from time to time to reflect changes in our services or applicable law. The "Last updated" date at the top of the page reflects the most recent revision. Material changes will be communicated via the website.
